FEES & POLICIES

Diablo Day Camp Fees:

  • Campers (Grades K-8*): $175
  • Elves (Grades 7-12*): $115
  • Volunteers get reduced fees!
    ○ Campers (Grades K-8*) only with Volunteers: $100
    ○ Elves (Grades 7-12*) only with Volunteers : $70
    ○ Boys (Grades K-6*) only with Volunteers: $65
    ○ Tags (TK and preschool-age, potty-trained children at least age 3) only with Volunteers: $40

Important note: When determining your child’s grade, please use the grade they are in at the time of enrollment, i.e. in Jan/Feb/Mar, NOT the grade they will be going into the school year after camp. This will ensure they are placed in age appropriate groups and activities.

  • Payment is due at time of Session Placement.
  • ALL PAYMENTS ARE FINAL and NON-TRANSFERABLE
  • You can pay by credit card or e-Check. If you use e-Check, it will take 5-7 days to complete the payment.
  • Diablo Day Camp does not offer any refunds.
  • The DDC registration vendor (Regpack) offers purchase protection for an additional fee. Here is a link for more information.
  • If you purchased the protection plan when you registered, you need to file a claim directly with the insurance company. Here is a link for filing the claim.
  • If for any reason you must cancel your camp session, please email the DDC Registrar (registrar@diablodaycamp.org) and copy your Session Director. Include the camper’s full name(s).
  • Diablo Day Camp does not allow campers to transfer their registration to other Girl Scouts.

If you claim child and dependent care credit on your income tax form, your email confirmation from when you registered is your receipt and has our Tax ID number on it: Girl Scouts of Northern California, Federal Tax ID No. 94-1551410

  • Financial assistance is available for Diablo Day Camp.
  • You can apply for financial assistance at any time before camp.
  • Families may only request financial aid for ONE summer camp experience each year (per Girl Scouts of Northern California).
  • Families must apply for financial aid within 5 days of being placed into a session.
  • Diablo Day Camp will notify you of your financial aid award, if any, within two weeks of your financial aid application.
  • Camp fees in excess of financial aid must be paid in full within 5 days of your financial aid notification or your camper/elf will be removed from their placement and added to the bottom of the wait list.

  • You must pay your full registration fee when you are placed in a session.

  • Cookie Rewards / Council Credits card balances can be checked at: https://www.gsnorcal.org/en/programs/cookies/council-credit.html
  • Forms must be submitted before September 30th.
  • Diablo Day Camp will refund your registration fees for valid rewards / credits after the rewards / credits amount is verified by GSNorCal.
  • Dollar for Dollar Match was a cookie reward for the 2021, 2022 and 2023 cookie sales. These are now expired, but on a case by case basis, if your Girl Scout hasn’t redeemed their reward, GSNorCal will honor it one final summer.  For example, if a girl redeems $50 worth of reward card funds to pay for camp, GSNorCal will contribute an additional $50 toward her balance. Diablo Day Camp will reimburse camper families for their reward card value ($50) plus the match value ($50) for a total of $100.

  • All camp attendees (campers, elves and adult volunteers) must be currently registered Girl Scouts.
  • Preschool-age tags and boys (sons of adult volunteers) do not need to be registered Girl Scouts.

  • If you are not associated with a troop, please register with “Diablo Day Camp 53106.” This troop becomes active in January. You may have to search by zip code: 94563

  • Adult volunteers must complete the 2025 GSNorCal Mandated Reporter Biennial course and Annual Acknowledgement. Follow this link link for more information.

HOW TO REGISTER

Welcome!  Diablo Day Camp online registration is managed by Regpack — an event registration software.

Start by selecting the REGISTER button in the upper right hand corner of this page to create your family Regpack account.

  •  If you have a grandchild, nibling (niece/nibling) or other familial relationship joining you at camp, please have that family create their own family account.

Welcome Back! This year we are placing volunteers, elves and campers by Lottery.

To start your registration, 

  • Select the REGISTER button in the upper right had corner of this page.
  • Select the Blue Login Button (upper right hand corner of the landing page) to login with the credentials your created last year (or the years before!) 

Diablo Day Camp places volunteers, elves and campers by Lottery.

  • You may start your registration as early as November 15th.
  • Registration will include a Lottery Picks form where you will provide 3 to 7 session alternatives.  Please select only sessions you can attend.
  • All forms (including your Lottery Picks) will remain open until 24 hours prior to each Lottery Draw.
  • We will review your registration and confirm that it is complete.
  • The Lottery will proceed as follows:
    • Staff (and their family) Lottery will begin on January 8th — you will be notified of your placement by January 10th
    • Elf (and their family) Lottery will begin on January 22nd — you will be notified of your placement by January 24th
    • Camper Lottery (first round) will begin on February 5th — you will be notified of your placement by February 7th
    • Camper Lottery (second round) will begin on February 19th — you will be notified of your placement by February 21st
  • Anyone who does not get into a Session will be placed on the waiting lists for each of their choices.
  • Incomplete applications will not be eligible for the Lottery.
  • Once you are notified of your Session placement, you will have 5 days to process your payment (or apply for financial aid), register with Girl Scouts and, for volunteer only, complete your background check and mandated reporter courses.
  • If you have not paid (or applied for financial aid), are not registered with Girl Scouts, or (for volunteers only) complete your background check and mandated reporter courses, you will be removed from the Session and placed at the bottom of the wait list.

There is a button that lets you maintain the camper profile but not register the camper this year. Just click on the “Not attending this year” button when their profile comes up.

Click on the “forgot password” button. We have been notified that this button is not working on all browsers. If you get caught in a “forgot your password loop”, try a different browser or contact Regpack@diablodaycamp.org.

What is a Family Account?
A Family Account is the information we need to contact you as a family.

What is a Camper Profile?
All members in your immediate family who are attending camp will need a Camper Profile including adult volunteers. This profile will contain individual information for each person — volunteer, elf, camper, boy and tag.

Registering Extended Family Members?
DO NOT register your friends, grandchildren, or nieces/ nephews under your family account. The forms must be signed by a parent / legal guardian. The extended family member creates their own family Regpack account and creates camper profiles for their children. During creation of the family account, they will be asked to identify the volunteer they are associated with. Remember, if you drop as a volunteer, each family member registered with you will be dropped.

  • You must process payment within 5 days of receiving your Session Placement notification.
  • ALL PAYMENTS ARE FINAL and NON-TRANSFERABLE.
  • You can pay by credit card or e-Check. If you use e-Check, it will take 5-7 days to complete the payment. If you log back into your account during that time, the system will tell you that you need to pay until the payment is processed. Please ignore those instructions and be patient. You will not lose your placement in camp during this process.
  • Once payment is processed, your Girl Scout registration is complete and any applicable trainings are complete, you will receive a Registration Acceptance notification.
  • If you have not completed the required payment / registration / trainings, you will be moved to the wait list.

FREQUENTLY ASKED QUESTIONS

All participants (except tags and sons of volunteers) must be registered as Girl Scouts. Participants must register within 5 days of being placed into a session during the Lottery.

We welcome girls who are not Girl Scouts, but to participate in camp you will need to pay the Girl Scout registration fee in addition to our Diablo Day Camp fee.

You do not need to be part of a Girl Scout troop. You can register as a “Juliette.” If you are not associated with a troop, please register with “Diablo Day Camp 53106.” This troop may not be activated until January. You may have to search by zip code: 94563.

Each participant (volunteer / camper / elf) can only attend ONE session.

No.  Family members can attend different session.  However, boys and tags must attend the same session as their adult volunteer.

Diablo Day Camp welcomes girls of all abilities and needs; however, we are limited in the medical and other support we can provide to campers. If you or your camper have special needs and can function with a 1:10 adult to camper ratio in a rural environment, please contact our Camp Administrator to discuss what accommodations can be made for a successful time at camp. Campers in TK are too young to attend. They can attend as tag-a-longs only with an adult volunteer relative.

Campers in Kindergarten through 8th grade at the time of registration are eligible as campers.

  • Girls currently in 7th through 12th grade (at time of registration and even if 18 years old) can apply to be Elves.
  • New Elves must have been a DDC camper for at least one year
  • Girls who can not attend as a camper may be eligible to be an elf if they have other Girl Scout / leadership experience.

Please see our Adult Volunteer page for details. In summary, adults must be registered adult Girl Scouts, background checked, and complete 18 hours of pre-camp training and complete online GSNorCal Mandated Reporter training.  Adult Volunteers must agree to attend the full five days of camp.

Preschool age children (boys and girls) can attend as a tag-a-long with an adult volunteer relative if they are at least 3 years of age and potty trained by the first day of camp.

Boys currently in Kindergarten through 5th grade can attend camp with an adult volunteer relative.

All participants registered with that person will be removed from camp.

Adult volunteers are not placed in the same unit as their camper or elf (exceptions may be made in the Tags and Boys units).

Diablo Day Camp does not assume responsibility for technical issues with the Diablo Day Camp website or Regpack online registration system.

  • On or about April 1, campers will receive a welcome email from your Session Directors welcoming you into their session.
  • Adult Volunteers and elves can expect to receive their welcome email in March.
  • 2-4 weeks prior to camp, you will receive a welcome email from your Unit Leader.
